Privacy Notice for Boxers

What this notice is

Your boxing coach has registered you on PugiList, a tool clubs use to find suitable opponents for matches and sparring. This note tells you what data is held about you, why, and what rights you have. It is written for boxers and, where the boxer is under 18, for parents and guardians.

You are not expected to use PugiList yourself. Only your coach signs in. We have written this so you know what is happening with your information.

What data your coach has entered about you

To help arrange safe and fair matches, your coach can enter:

  • Your name, date of birth, gender, weight, and (optionally) height and reach
  • Your club, your England Boxing membership number (where applicable), and the expiry of your medical certificate
  • Your fight record (bouts you have had, results, and any stoppage history)
  • Your availability to box and any current suspension dates
  • Short coach notes used by your coach to plan your matchmaking (e.g. preferred styles, goals)

We do not collect anything from your phone, your social media, or any source other than what your coach types in.

Who can see this data

  • Your own club always. Your coach and other authorised staff at your club can see your full record.
  • Other PugiList-registered clubs see only your initials, club name, weight, age band, gender, and headline bout record by default. Your full name is only shown to another club when your coach has explicitly turned on data sharing for you and a match request has been accepted.
  • Your medical and health information (medical expiry, suspension reasons, stoppage history, coach notes) is never shared with another club.
  • We never sell your data, never use it for marketing, and never use it to train artificial intelligence or machine-learning models.

If you are a parent or guardian of a boxer under 18

Your child's coach should have asked for your consent before adding them to PugiList, and should be keeping their own written record of that consent at the club. If they have not, please contact your child's coach in the first instance, or email us at support@pugilist.io and we will follow it up.

We rely on the coach's in-app attestation that they have obtained your consent. We do not collect your name or contact details ourselves. That record stays at the club.

Extra protections for under-18s. Cross-club data sharing defaults to off for minors. Health and medical information is never shared cross-club. Data about minors is excluded from any analytics. Any breach involving a minor is treated as the highest severity.

You can ask the club to remove your child's record at any time, or contact us directly and we will action removal without undue delay.

Your rights

UK GDPR gives you eight rights over your data. In plain English:

  • See your data: ask for a copy of what we hold
  • Correct it: ask us or your coach to fix anything wrong
  • Delete it: ask for your record to be removed
  • Get a copy: receive your data in a portable format
  • Pause processing: ask us to put things on hold while a question is sorted out
  • Object: tell us you don't want your data used in a particular way, including for the matchmaking suggestions
  • Withdraw consent: tell your coach to turn off cross-club data sharing for you, at any time
  • Ask about automated decisions: ask how the matchmaking engine ranked you or get a human to review it

You can use any of these rights by speaking to your coach or by emailing us at support@pugilist.io. Either route is fine and we will route the request to whoever can answer it. We will respond within one calendar month, and you do not need to give a reason.

Why both your club and PugiList are responsible

Your coach's club and Pugilist Group Ltd both make decisions about how your data is used: the club decides what to enter and how it is used inside the club, and we decide how the platform itself works (the matchmaking engine, security, eligibility checks).

Under UK GDPR this makes us joint controllers. The practical upshot for you: you can contact either your club or us with any question or rights request. Both of us are responsible for getting you a proper answer.

How long your data is kept

Your record is kept for as long as you remain affiliated with the club that registered you. Your coach can delete it at any time from the club's roster, and it is also deleted automatically if the club closes its PugiList account. If you ask for deletion, we will action it without undue delay.

This notice can be printed and provided to each boxer or their parent/guardian on registration. The latest version is always at pugilist.io/boxer-privacy.
